Contact Manager - Set-up

Access to the Contact Manager has to be granted through the options on the NAV menu.

Nav 1 - Work with Global App Defaults

This option effects the whole system and can be overridden by the Authority Class (NAV 2) and User (NAV 5) level settings.

Access NAV 1 and enter an A for the Contact Manager application.

Press Enter to access the following permissions.

Allow User to Edit Contacts - In the Contact Manager application, a user can click on an existing contact to access their information and details. If this setting is activated:

  • An Edit button appears at the top and bottom of the Contact Information window.

The ability to add or remove Contacts from groups is also activated.

Adding

  • From the Actions drop down in Contacts.

Removing

From the Actions drop down in Groups.

The ability to create a new grouping of contacts is also activated. The New Group feature is located in the left-hand frame.

Allow User Access to Administrative Settings - Activate this setting to provide access to the Admin Settings.

Allow FAX number as an ODS Destination Option -

NAV 2 - Work with Authority Classes

Authority classes allow you to group users together, they can be created based on system access restrictions or on a user's functional areas such as AP clerk, order clerk, or customer service. They allow you to customize the level of access a group of users has within Navigator.

Authority class overrides the global (NAV 1) settings.

The process for granting Authority Class access to the Contact Manager is the same as granting access at the Global Level. Refer to Nav 1 - Work with Global App Defaults.

NAV 5 - Control User File Maintenance

The same access granting functionality is available at the user level via menu option NAV 5.

An additional access limitation can be added via the Limit To Salesperson# setting. Follow this path to access this setting: NAV 5> U to update a user.

In this example, this user is limited to only viewing contacts that are associated with salesperson ALN. If you try to work with contacts (for example, adding a contact to a group) not associated with the Salesperson entered into the Limit to Salesperson#, you will receive the following error message.
